How to choose a sourcing agent in China
Updated 2026-10-18 · China
"Sourcing agent" is used loosely in China. It can mean a one-person WeChat broker, a trading company with its own products, a freight forwarder adding a service line, or a buying office that verifies factories and handles documents. They look similar on a website and cost very different amounts of money to get wrong. The five checks below are the ones that change the outcome of a first order.
In short
- Check the legal entity, not the website. A sourcing agent should be a registered company whose name matches its bank account and contract.
- A good agent shows named factories, not a price list. If the quote is one number with no factory behind it, you are buying a middleman margin, not a sourcing service.
- Inspection is the product. Ask who books the third-party inspection, what the report covers, and who pays for a re-inspection.
- Documentation is where agents fail. Export documents, certificate of origin and destination-market approvals are the part most agents cannot actually deliver.
First, know what you are buying
There are three common models. A trading company buys and resells: it owns the margin and often hides the factory. A sourcing agent works on your behalf: it shortlists factories, compares them, and is paid for the work. A buying office is the in-house version of the same thing. They differ in who is accountable when something goes wrong.
Ask directly: "Are you the seller or the agent?" A serious agent will answer in one sentence. If the answer is ambiguous, assume you are buying from a trader and price accordingly.
- Seller model: one invoice, one responsible party, less transparency on the factory.
- Agent model: named factory options, you approve, the agent coordinates and inspects.
- Hybrid: common in China; ask which role applies to this order, in writing.
Check 1–2: entity and account
- Look up the company on the national enterprise credit system (gsxt.gov.cn) by name or unified social credit code.
- Compare the legal name, the invoice issuer, the contract party and the bank account beneficiary. All four should be the same entity.
- A request to pay a deposit to a personal account is a stop signal, not a negotiation.
Cross-border payments are hard to reverse. The account check is free and it is the single highest-value five minutes in the whole process.
Check 3: how they quote
An agent's quotation should show two or three named factories per item, with the specification each factory can actually build. A single lump price means the agent is selling you a product it already picked, which is the trading model wearing an agent's language.
- Named factories, not categories.
- Specification differences between options, not just prices.
- Certification path stated per option, because the factory with the certificate is often not the cheapest one.
- Clear statement of what the price includes: EXW, FOB, or CIF.
Check 4: inspection and quality control
Ask what happens between production and shipment. The useful answer names the inspection company, the sampling standard, and who attends the re-inspection if the first one fails. "We check it ourselves" is not an inspection; it is a promise.
- Third-party inspection (SGS, BV, TÜV or equivalent) booked before shipment.
- The approved sample is the reference, sealed and recorded.
- Photos and the report go into the shipment file.
- Who pays for a failed lot and a re-inspection is agreed before the order.
Check 5: documentation and destination approvals
This is the check most buyers skip and most agents fail. The agent should be able to explain which approval your product needs in the destination market, who holds it, and what the factory has to provide. If the answer is "the factory will handle it", ask which factory, which certificate, and whose name is on it.
- Commercial invoice, packing list, bill of lading, certificate of origin.
- Destination approval path: who applies, who holds the certificate, what the label requires.
- Consistency across HS code, invoice description and certificate.
How to run a low-risk first order
- Start with one or two SKUs, not a container of experiments.
- Ask for samples from two factories and compare them against the same specification.
- Inspect before shipment, every time, until the relationship has a track record.
- Put the specification, inspection standard and document list in the purchase contract.
- Review the first shipment's documents against the customs entry; that is where you learn whether the agent is real.

Buyer questions
How much does a sourcing agent charge?
Commission models vary widely and we do not publish a number, because the right structure depends on order size, category and how much of the work is ours. Ask any agent to state the model in writing — commission, fixed fee, or a margin built into the price — before the first order.
Is a sourcing agent better than buying from a trading company?
Neither is universally better. An agent gives transparency and comparison; a trader gives one accountable seller and usually a faster, simpler transaction. The mistake is not knowing which model you are in.
Can the agent also be the exporter of record?
Yes, in many arrangements the agent or its partner handles export declaration. Ask who is named on the export documents and the certificate of origin, because that decides who can claim preferential tariff treatment.
What should a first quotation include?
Named factory options, a specification for each, the certification path, the Incoterm, and what is excluded. A price without those is not a quotation, it is a number.
How do I check an agent's references?
Ask for two customers in your region and what those customers bought. Then check the agent's company registration and export records. A real agent can describe a shipment concretely — factory, port, documents — without reading from a script.
